You overcharged a customer, a customer returned stock, or a discount you promised never made it onto the invoice — and now the invoice you already sent is wrong. 01. What Is a Credit Note?

A credit note (sometimes called a CN or a credit memo) is a document a seller issues to a buyer to reduce the value of an invoice that's already been sent. It doesn't delete or replace the original invoice — it sits alongside it, referencing the invoice number it corrects, so anyone looking at your records later can see exactly what changed and why.

Every credit note carries its own number, in its own numbering sequence, separate from your invoice numbers. It states the amount being credited, the reason (a return, an overcharge, a cancelled order), and it links back to the invoice it corrects — never a floating adjustment with no paper trail.

A credit note can cover the full invoice amount or only part of it. If a customer returned half an order, the credit note only credits that half — the rest of the invoice stands as issued. This is why the reference to the original invoice number matters so much: without it, a partial credit is impossible to make sense of later.

A credit note reduces what a customer owes on an invoice already sent. It's not a refund by itself — whether cash actually changes hands depends on whether the customer already paid.

In a typical sales cycle, documents flow one direction: a quotation, then an invoice, then — only if something needs fixing afterwards — a credit note. It's the one document in that chain that only appears when a correction is needed. For businesses moving physical goods, a delivery order documents what left the warehouse before the invoice; a credit note never touches stock movement on its own, only what's owed on paper.

02. When Do You Need to Issue a Credit Note?

Four situations cover almost every credit note a Malaysian SME issues:

  • Overcharged a customer — wrong quantity, wrong price, or a discount that didn't apply before the invoice was sent.
  • A customer returned goods — a full or partial return, common in retail and F&B.
  • A late discount or goodwill gesture — agreed after the invoice already went out.
  • An order was cancelled or fell through — after invoicing, before delivery or payment.

Each of these needs its own credit note, referencing the specific invoice it corrects — never one combined note covering several unrelated invoices, since that breaks the audit trail your accountant (and RMCD, if you're ever checked) relies on.

The timing matters too. Issue the credit note as soon as the correction is agreed — not at month-end when you're reconciling everything at once. A credit note sitting unissued for weeks is exactly how a return at the counter turns into a mismatch between what your till shows and what your books show.

03. Credit Note vs Invoice vs Debit Note — What's the Difference?

These three documents get mixed up constantly, because they all involve money owed — but each moves in a different direction.

A debit note is the mirror image of a credit note — same idea, opposite direction. If you undercharged instead of overcharged, you'd issue a debit note referencing the same original invoice, not a brand-new one.

Most Malaysian SMEs issue credit notes far more often than debit notes, since going back to ask a customer for more money is a harder conversation than crediting an overcharge. That imbalance is normal — it doesn't mean your invoicing is wrong, just that corrections in your favour are rarer than corrections in the customer's favour.

04. What Must Be on a Malaysian Credit Note

Missing a field doesn't just look unprofessional — it breaks the paper trail your accountant needs to match the credit note back to the original invoice and the SST adjustment, if any.

Keep the credit note number sequence separate from your invoice numbers. If a credit note ever gets folded into your invoice sequence, it becomes much harder to explain which number is which during an audit.

05. A Filled-In Credit Note Example

Say you invoiced a customer RM 1,200 for 20 units at RM 60 each, then 5 units came back faulty. As an example, here's what the credit note for that return would show:

The customer's outstanding balance drops from RM 1,200 to RM 900 — the invoice itself is untouched; the credit note is what makes the correction visible in your books and in whatever the customer sees on their end.

06. Free Credit Note Template (Excel, Word, PDF)

Building a credit note from scratch each time invites the exact mistakes above — a missing reference number, an inconsistent numbering sequence, a forgotten SST line. A template fixes the layout once so every credit note you issue afterwards follows the same structure.

A usable Malaysian credit note template needs, at minimum, the fields listed above laid out clearly: your business details at the top, the customer's details below it, a reference line pointing at the original invoice, and a totals section that shows the SST adjustment separately from the subtotal.

Whichever format you use — Excel for quick edits, Word for a version you print, or PDF for the version you send — keep the layout identical every time. Consistency is what makes a credit note easy to match back to its invoice months later.

07. Credit Notes and SST — What Changes on the Tax Line

If the original invoice included SST, the credit note needs to reduce that SST portion too — not just the subtotal, or your SST filing stops matching your sales records.

Exactly how that adjustment gets treated depends on your SST registration status and the current guidance from RMCD (Royal Malaysian Customs Department) — the authority that governs SST treatment, not something to work out from memory or a generic template. If you're SST-registered and a credit note affects a return you've already filed, check the treatment with RMCD or your accountant before adjusting the figures yourself.

Don't assume a credit note alone settles an already-filed SST return. Confirm the correct adjustment with RMCD or your accountant first — this is harder to unwind after the fact than to get right the first time.

What you can control on your end: always show the SST amount as its own line on the credit note, not folded into the total, so whoever reconciles your accounts later can see exactly what was reversed. If your invoices span more than one SST filing period, flag that to your accountant explicitly — a credit note that crosses a filing period needs a different adjustment than one issued within the same period.
