How it works

e-Invoice isn't a separate product you buy. It's part of Niagawan Accounting and POS — issue from your accounts or straight from the till, and Niagawan submits and validates with LHDN in the background.

Set up once

Fill in your e-Invoice details in Niagawan settings and add Niagawan as your intermediary in MyInvois. The screen walks you through it. You do this one time.

Bill as normal

Issue invoices the way you do today. Every invoice carries a Niagawan QR code in the footer — the link for a customer to request an e-Invoice.

Customers scan the QR

A customer who wants an e-Invoice scans that footer QR and enters their own details — you never ask for their TIN.

The rest are consolidated

Invoices where no e-Invoice was requested are grouped into one Consolidated e-Invoice and submitted for you on the 4th of the following month.

Foreign suppliers handled

Buying from a supplier who can't issue an e-Invoice, like an overseas one? Niagawan raises a self-billed e-Invoice for you, so the purchase is properly covered.

Validated with LHDN

Niagawan submits each e-Invoice to LHDN, which validates it and returns its own LHDN QR code — a separate QR that Niagawan stores on the final e-Invoice.

One-time setup

Everything LHDN needs about your business, filled in once.

  • Your TIN, identification number, MSIC code, business activity and SST number if you have one
  • Contact, email and address used on submissions
  • Add Niagawan as your intermediary in MyInvois — the on-screen steps tell you exactly what to click
  • Validate the intermediary and the status turns Active

How staff use it: The owner or accountant fills this in once, before the first e-Invoice.

The benefit: After this screen, e-Invoice stops being a project and becomes part of billing.

The QR on your invoice footer

Niagawan's own QR code, printed on every invoice, for customers who want an e-Invoice.

  • The customer scans it and fills in their own details — individual, company or foreign buyer
  • They confirm their details before it is submitted
  • Your cashier never has to ask for a TIN, IC or BRN
  • Works the same whether the invoice came from Accounting or the POS counter

How staff use it: Nobody. The customer does the typing.

The benefit: The counter keeps moving, and the buyer details are right because the buyer entered them.

Consolidated e-Invoice

The sales nobody requested an e-Invoice for, grouped and submitted as one document.

  • Auto-consolidation runs on the 4th of the following month
  • One consolidated document covering the month's remaining sales
  • A Consolidate tab shows what is pending consolidation and what has been submitted
  • You don't chase anyone, and nothing is left unreported

How staff use it: Nobody, if auto-consolidation is on. The accountant can review the tab any time.

The benefit: The 90% of sales where the customer never asked are handled without a single manual entry.

Self-billed e-Invoice

For purchases from suppliers who cannot issue a Malaysian e-Invoice — foreign suppliers especially.

  • Raise a self-billed e-Invoice from the Self Billed tab
  • Covers foreign goods and foreign service suppliers, and other non-issuing parties
  • The entry is recorded as an expense in your accounts at the same time
  • Submitted to LHDN like any other e-Invoice

How staff use it: Whoever records purchases raises it once for the import.

The benefit: Buying from overseas stops being the part of e-Invoice nobody knows how to handle.

Validation, status and fixes

You can always see where a document stands with LHDN.

  • Status on the invoice: submitted, validated, rejected
  • LHDN's own validation QR code stored on the final e-Invoice, and printed on the PDF
  • If LHDN rejects it, fix the details and resubmit from the same panel
  • A document already submitted is locked from editing, so nothing goes out twice

How staff use it: Admin only touches it when something is rejected.

The benefit: No guessing whether a document reached LHDN — the answer is on the invoice.

Cancellations and the report

The corrections and the paper trail, handled inside your accounts.

  • Cancel within LHDN's 72-hour window straight from the invoice
  • After 72 hours, a credit note is submitted to LHDN to reverse it instead
  • A Report tab lists submissions with status and document type
  • Filter and export it when your accountant asks

How staff use it: Admin cancels or credits from the invoice; the accountant reads the report.

The benefit: Mistakes are fixed the correct way, without logging into a portal.
