01. Do you actually need inventory software yet?

Be honest with yourself before you spend anything. Plenty of Malaysian businesses run stock on a notebook or a spreadsheet and are completely fine.

03. Inventory software vs inventory accounting software — the difference that costs money

This is the distinction most buyers miss, and it is the expensive one.

Stock-only tools track quantities: how many units, where they are, when they moved. They are often very good at that, and often cheaper.

Inventory accounting software tracks the quantities and the money. When you buy stock it becomes an asset on your balance sheet. When you sell it, that value moves into cost of sales and your gross profit becomes real. When you count at year-end, the closing figure is already there.

If you buy a stock-only tool, budget for the accounting system it will need to sit next to — and for somebody to keep the two in step. That reconciliation work is real, recurring, and nobody quotes for it.

04. Why Excel breaks — and the exact point it breaks

Excel is genuinely good at inventory, right up until it is not. Being fair about where that line sits will stop you buying too early or too late.

07. Cloud or desktop?

Is there free inventory management software in Malaysia?

There are free tiers and free spreadsheet templates, and they work for very small stock lists. The catch is usually a limit on products, users or transactions — and that free stock tools rarely connect to your accounts, so you pay in reconciliation time instead of ringgit.

Can I just use Excel for inventory?

Yes, if you have few products, one location and one person updating it. It stops working once sales no longer reduce your stock automatically, or once two people need to edit the same file.

What is the difference between inventory management software and inventory accounting software?
